At Optometry Scotland, we respect the personal information that we hold on you and this policy explains how we will use this personal data and the rights that you have, regarding its storing and processing, under General Data Protection Regulation (GDPR), from the 25th May 2018.
The data we hold and how we obtain this
We will collect personal data about yourself when you choose to become a Member of Optometry Scotland. At this stage we ask for your Full Name, Practice Details and an email address. If you choose to provide us with any further details these will be handled and processed in the same, secure way.
The only other time we will gather data is if you choose to provide us with information, for example, if you complete and submit a form or contact us via email.
How we will use your data
– To keep you up to date and informed of any relevant news
– To communicate information regarding membership changes or renewals
– To make you aware of any promotions or events that we feel may be relevant or of interest to you
– To seek feedback or opinions on relevant business matters which arise
We will never share your personal data with any third parties without prior approval from yourself, except where they are acting as authorised agents for OS for the above purposes or where we are permitted or required to do so by GDPR.
The lawful basis for processing
At Optometry Scotland we collect and process personal data because it is necessary for the pursuit of our Legitimate Interests, as outlined in the above description of how we will use your data. We will conduct and review our Legitimate Interest Assessment every 6 months and ensure that our interests and processing remain lawful.
How long will we keep your personal data on record for?
We will hold your personal information for as long as we have a legitimate reason to do so. This would generally mean that we would hold this data for the time period that you remain one of our members. This will be reviewed on an annual basis and amendments made.
The right of access
You can ask us, at anytime, for a copy of the personal data that we hold for you. If you wish to do so, please contact us via any one of the contact methods at the end of this policy. The request may be done verbally or in writing. Any request will be actioned without undue delay.
The right to rectification and erasure
You may chose, at any time, to ask us to rectify personal data if it is no longer accurate and also for us to delete or remove any personal data that we hold for you. If you wish to do so, again, please contact us via any one of the contact methods at the end of this policy. The request may also be done verbally or in writing. Any request will be actioned without undue delay.
The right to lodge a complaint
If you feel that your personal data has been handled or processed incorrectly by us, you have the right to lodge a complaint with the Information Commissioner’s Office. They can be contacted by calling 0303 123 1113 or via their website at www.ico.org.uk/concerns
